Chair/Co-Chairs
MAIN PURPOSE OF ROLE:
To lead the committee, ensuring the PTA is run in line with its constitution and according to the wishes of all members.
Typical responsibilities:
-
Setting the dates and agenda for meetings
-
Managing meetings according to the agenda and remaining impartial while doing so
-
Ensuring meetings are held fairly and contributions from everyone are welcomed
-
Being the PTA’s primary link to the school, which includes agreeing on a wish list with the school leadership team
-
Writing the annual report for the AGM
-
Delegating tasks to committee members and volunteers and ensuring these are carried out effectively
-
Getting to know PTA members and welcoming and encouraging new volunteers
-
Drawing up the annual PTA calendar of events

Treasurer
MAIN PURPOSE OF ROLE:
To manage and control PTA funds according to the wishes of the committee.
TYPICAL RESPONSIBILITIES:
-
Reporting finances at PTA meetings in a clear, concise way that all members can understand
-
Preparing a financial report for the AGM
-
Maintaining up-to-date records of all the PTA’s financial activity
-
Organising floats for fundraising events
-
Ensuring money is kept safely before and during events, and banking takings afterwards
-
Reporting income and expenditure information after events
-
Completing the Charity Commission annual return and getting accounts independently examined where necessary
-
Managing finances on a day-to-day basis, including organising receipts, making payments, completing online banking transactions

Secretary
Main purpose of role:
To ensure the PTA runs smoothly and efficiently through the preparation and organisation of the committee’s paperwork and communications.
Typical responsibilities:
-
Working with the Chair to prepare for and run meetings
-
Circulating the agenda and reports before meetings and identifying outstanding items from previous meetings
-
Managing communication between the committee, volunteers and school community
-
Managing all correspondence received by the PTA, including through the info@stmatthewspta.org.uk email.

Taking minutes during PTA meetings, typing them up and distributing them to committee members once approved by the chair
-
Maintaining the PTA’s records, including minutes, member contact details and legal documents

Communications Coordinator
Main purpose of role:
To help communicate the PTA activities to the wider school community through regular newsletters and our social media channels.
Typical responsibilities:
-
Create posters for events and promote via social media channels and in school
-
Share events and fundraising news regularly on Facebook and Instagram
- Write termly newsletters to promote events and recent fundraising achievements
- Maintain the website

Some knowledge of canva (or other design tool) and Wix website platform is useful

Examples of Other Non-Committee Roles
You could volunteer to coordinate or help with a specific event, new or ongoing FOMS activity. Examples include:​
-
Event Coordinator: To plan, coordinate and manage key events to ensure they are well-publicised, run smoothly & are well-supported by the school community.

'PTA-Events' platform coordinator – providing day-to-day expertise on PTA-Events use, setting up events on PTA-Events and encouraging wide use of it as the primary PTA communication tool
-
School Uniform coordinator - sorts uniform donations and organises regular sales of preloved uniform to the school community.
-
Christmas/Greetings card fundraiser coordinator – coordinates this activity, liaising with the school and compiling and checking orders
-
​Cake sale coordinator – organises the dates for the regular cake sales throughout the year, which raise money for activities for each year group.
